RFQ Form

RFQ Form Guide — Briefing for a Factory Quote

An RFQ (request for quotation) is the structured brief that lets Rekhi Sports respond with sampling guidance and pricing grounded in manufacturing reality. This page explains how to complete an RFQ so your inquiry moves quickly through commercial and sampling review. Since 2003 we have quoted OEM, ODM, and private label sportswear programmes for international buyers from Sialkot — and the quality of those quotes has always tracked the quality of the brief.

Use this guide whether you submit through an on-site form, email, or another Get Quote channel. The fields matter more than the interface.

Identity and programme reference

Include your company name, contact person, and a programme or style name you will reuse in every follow-up. If you manage multiple brands or clubs, label which account the RFQ belongs to. Fragmented names create version risk when artwork and size charts arrive later.

State whether this is a new development, a repeat of a sealed style, or a modification of a past season. Repeats should cite the previous sample or order reference when you have one.

  • Company and contact — who receives technical questions.
  • Programme name — stable reference for files.
  • Path — OEM, ODM, private label, or mixed.
  • New vs repeat — development level required.

Product, quantity, and destination

Name the product category and end use: match kits, training wear, fitness apparel, streetwear, corporate apparel, school PE, or other. Provide quantity by style and colourway, including size ratio if known. Say whether you need a low MOQ pilot, bulk, or a dual scenario. Name destination markets because labelling and packing rules often depend on where cartons land.

Ship window and preferred mode help calendar honesty. Incoterms expectations belong here even if final freight partners are undecided.

Technical attachments

Attach tech pack, graded size chart, artwork, and reference photos or swatch notes. If files are large, follow tech pack upload guidance and still summarise what was sent in the RFQ text. State decoration method or ask for a recommendation against fabric and wash needs. Note private label trim requirements when brand presentation is part of the order.

Missing measurements and missing artwork are the two most common causes of wide, unhelpful price bands. Send what you have and list what is still in progress.

Commercial constraints to state early

Budget bands can be shared as ranges when helpful, but specs still drive feasibility. Packing rules, warehouse marks, and assortment needs should not wait until goods are finished. Compliance labelling expectations for your market should be named when known. We implement agreed requirements; we do not invent your legal obligations.

If multiple quotes are needed — for example two GSM options or screen versus embroidery — say so explicitly so replies stay comparable.

How we respond

Expect clarifying questions when something critical is ambiguous. Expect a sampling plan before you treat a number as final for bulk. Pricing assumptions should be visible: fabric direction, decoration scope, quality gates, and packing. We will not invent lead times that ignore approval loops or decoration queues.

After you approve a sealed sample, keep using the same programme reference for revisions. Related Get Quote pages cover bulk pricing inquiries, WhatsApp, email, and factory visits. Resources pages cover fabric, GSM, MOQ, printing, and tech packs if you need education before submitting.

A strong RFQ is a professional courtesy to your own season calendar. It reduces email tennis and protects the sealed standard you will eventually need. Fill the fields with decisions, not slogans. Rekhi Sports will answer with factory process, not brochure fog — which is the only kind of quote worth filing against a real production plan in Sialkot.

When your checklist is complete, submit through Get Quote and watch for follow-up questions. Answer them in the same thread. That discipline is how RFQs become orders without losing the details that made the price make sense.

After submission — how to keep the RFQ clean

When clarifying questions arrive, answer in the same thread with the same programme name. Do not open three new subjects for the same style. When files update, say what changed in one sentence at the top. When stakeholders disagree internally, resolve disagreement before sending contradictory instructions to the factory.

If a quote returns with assumptions you did not intend, correct the assumptions before negotiating the number. Arguing price against the wrong fabric wastes everyone’s week. Align the brief, then compare.

Mark which decisions are frozen and which are still exploratory. Factories can quote ranges for exploratory options and firmer figures for frozen ones. Mixing both without labels creates false precision.

Rekhi Sports will move an RFQ toward sampling when the brief is sufficient. Your job is to make sufficiency visible. Use the checklists on this page as your internal standard for every new style — clubs, brands, schools, and corporate programmes alike — so Sialkot manufacturing replies stay specific, calendar-aware, and tied to a sealable product.

Multi-style RFQs without chaos

When one email covers several styles, use a numbered list with separate quantities, decorations, and attachments per style. Do not bury three kits inside one paragraph. Factories quote and sample by style. Ambiguous bundles create crossed files and wrong seals.

If styles share fabric but differ in decoration, say what is shared and what is unique. Shared material planning can improve MOQ economics; unique decoration still needs its own artwork control. Clear structure in the RFQ is how bulk pricing inquiries and sampling plans stay comparable across your assortment.

Rekhi Sports prefers tidy multi-style briefs because they protect calendars for every club or brand line you manage. Invest the formatting time once; reclaim it across the season.
